Church-Ops Africa Reports Guide
This guide explains the current reports center in Church-Ops Africa so leaders can read rosters, giving logs, attendance records, and finance summaries without expecting reports that are not yet part of the live product.
Table of Contents
- Reports Workspace Overview
- Members Report
- Giving Report
- Attendance Report
- Financial Reporting Engine
- Exports, Print, and Review Workflows
- How Reports Relate to Dashboards
- Common Mistakes to Avoid
1. Reports Workspace Overview
Open the Reports workspace from the church admin app.
The live reports center currently exposes four main report surfaces:
- Members Roster
- Giving Register
- Attendance Log
- Financial Reporting Engine
Access permissions still apply:
- Church admins and pastors usually review members and attendance.
- Finance roles should handle giving and finance exports.
- Ministry-specific users should only access the reports their permissions allow.
2. Members Report
Track the growth of your church family, identify geographic concentrations, and manage member statuses.
Steps to Run Member Reports:
- Go to Reports > Members.
- Select your filters in the top panel:
- Membership Status
- Gender: View male/female distributions.
- Quarter / Neighborhood: Search by the local area, district, or location field your church uses.
- The table updates dynamically below, showing matching names, contact info, and registration dates.
3. Giving Report
Use the giving report when the church needs a filtered register of contributions.
What to Expect
- Filter by date and available finance context.
- Review amounts and completed records more cleanly than in day-to-day transaction entry.
- Export the result for finance review or board preparation.
4. Attendance Report
Use the attendance report to review service and event check-ins that were already captured in the attendance module.
What the Live Report Includes
- Event Filter: Narrow the register to a specific service or event.
- Method Filter: Review records by available check-in methods.
- CSV Export: Download the current report result for offline review.
This report is a register-focused surface. It does not currently provide a separate absentee-analysis engine inside the reports center.
5. Financial Reporting Engine
The financial reporting engine turns approved budgets, completed giving, and approved expenses into board-ready reports.
Available Report Presets
- Pastor Brief
- Finance Committee Report
- Treasurer Report
- Custom Report
Available Sections
- Executive dashboard
- Income and expense detail
- Income and expense analytics
- Variance analysis
- Trends and forecasting
- Department or ministry performance where context data exists
- Audit transaction detail
Steps to Generate a Report
- Go to Finance > Board Reports.
- Choose the period, fiscal year, and reporting scope.
- Choose a preset or enable the required sections manually.
- Arrange the sections and set each section's detail and orientation.
- Preview the report.
- Download the mixed-layout PDF or print the preview.
The system uses year-to-date targets as the primary performance comparison. Annual percentages remain visible as supporting context.
6. Exports, Print, and Review Workflows
Reports can be exported for offline use, board review, or printing, but the available format depends on the report.
CSV Exports
- Members
- Giving
- Attendance
- Finance summary data
PDF and Print
- Finance reports support print preview and a single downloadable PDF containing portrait and landscape sections.
- Authorized users can save church-specific report presets and review generation history.
- Generated PDF files are not stored automatically by Church-Ops.
- Other report screens are more focused on on-screen review and CSV download.
7. How Reports Relate to Dashboards
Church-Ops also includes dashboards in other areas such as finance overviews, website analytics, and intelligence workspaces.
The key difference is:
- Reports are filterable, exportable records or formal presentations.
- Dashboards are better for quick visual monitoring.
If you need a formal list or file, use Reports. If you need a fast snapshot, use the relevant dashboard.
8. Common Mistakes to Avoid
Caution Data Security: Downloaded Excel and PDF sheets contain sensitive personal information (phone numbers, addresses, and financial summaries). Ensure printed copies are shredded and digital files are stored securely.
Important Reconciliation Status: When running financial giving reports, verify the status filter is set to Completed. Pending Mobile Money transactions are not factored into the final income sum.
